Position: Executive Assistant
Salary: $75-90K DOE plus bonus and benefits
A biopharma client of ours in Palo Alto is looking to hire two EAs. One will support the CFO and team and the other will support the General Counsel and team. This firm is ideal for someone who enjoys a collaborative environment, a dynamic workplace, and has a sense of humor. Expected office hours are 9am-5pm with the understanding that occasional overtime will be expected as projects arise.
Duties and Responsibilities:
• Maintain calendars and schedule internal and external meetings
• Make travel arrangements
• Prepare expense reports
• Prepare presentations for the Board of Directors, investors, partners, and other executives
• Maintain company files and contact information
• Coordinate with other company EAs regarding joint projects and backup.
• Organize presentation of press kits; coordinate release of Investor Relations information
Requirements:
• Minimum of 7 years EA experience
• Proven ability to handle executive- level contacts outside the company
• Proficient use of Word, PowerPoint, Outlook, Excel, and Access
• Proven flexibility in a dynamic workplace
• Thrive in a team-based, collaborative environment
• Previous biopharma industry experience highly desirable

Job Description: One of our longest standing and friendliest venture capital clients is looking to hire an Executive Assistant. This firm is located in Menlo Park and is behind some of the biggest IPOs in Silicon Valley in the technology industry. This firm’s environment is warm, friendly, and professional. There is a team of about seven assistants that are supportive of and collaborate with one another.
This EA will be supporting one Partner, and two Entrepreneurs in Residence. Heavy calendar and travel management are an integral part of this role. Other duties include phone coverage, expense reports, correspondence with clients, and other special projects as assigned. One of the EIRs travels the world for speaking engagements and this requires a lot of coordinating for his travel, schedule, and accommodations.
Requirements:
- 5+ years of proven experience supporting busy senior-level executives
- Technology, venture capital, or professional services experience strongly preferred
